Building Surveys and Document Management

Do you have current floor plans of your building?
Is your drawing archive simply a closet full of fading rolls of drawings?
Can you find the warranty for the broken 10 month old HVAC unit?
Can you remember what color paint was used on the lobby walls?

Answers to these questions are often not what they should be and more surprising is the amount of time and resources required to find the answers. Unfortunately, many organizations simply do not have the personnel or technical resources to maintain building floor plans let alone reliable databases of space and building data. Space Strategies can help assemble, organize and establish accurate building plans and other electronic documents.

Existing Building Surveys

Maintaining current floor plans should be a critical component of every building operation. Perhaps one of the most important reasons is for posting emergency evacuation routes and including in emergency response plans. Emergency response plans are often kept on site for administrator use, but they are also sometime required by local municipalities for use by First Responders. We can verify existing conditions or survey and draw new floor plans to record existing layouts if none exist.

Reasons you may require an Existing Building Surveys

  • Fire Safety Plans
  • Building Evacuation Plans

Document Management – What is a digital archive?

Think about it as a virtual file cabinet containing all of the documents related to the construction and maintenance of your building or campus.  Quite simply, it is a series of folders on your computer containing all your building floor plans, specifications, warranties, service plans, etc. so that they are easily accessible, emailable, available remotely, and backed up to a remote server. We will work with your staff to identify key documents, scan them as needed, and establish a filing structure appropriate to your needs.

Why should having a digital archive be important to me?

  • Current building documents help reduce the cost of repairs and maintenance.
  • Digital archives are not only convenient, but with remote access and cloud backup they also provide additional layers of security for your organization.
  • Less dependence on memories of specific personnel.
  • Digital files can be retained indefinitely with very little to no physical space.
